The process for purchasing and configuring a new computer to meet user needs is unclear and varies significantly depending on the department's internal IT support capabilities. By streamlining workflows and centralizing practices, the university can achieve significant benefits including cost savings, process optimization, and enhanced user experience. 

It’s critical to start this work now due to rising costs, outdated processes, and our increased dependence on technology.

Problem Statement

The existing processes for purchasing, provisioning, and deploying computer equipment on campus are fragmented and have not undergone a thorough review in recent years. Decentralized purchasing results in inconsistent standards, inefficiencies, and missed opportunities for cost savings.

A detailed review and restructuring of these processes are essential to enhance efficiency, establish standardized practices, and ensure technology delivery aligns with the university's strategic goals.

Objectives

  • Streamline Processes: ​R​ecommend clear, standardized workflows for purchasing, provisioning, and deployment to reduce inefficiencies and delays.
  • Enhance Cost Efficiency: R​ecommend centralized purchasing practices to capitalize on economies of scale, secure more favorable vendor contracts, and eliminate unnecessary expenses. Streamline the acquisition process by reducing reliance on employee reimbursements for purchasing new equipment.
  • Standardize Equipment: R​ecommend consistent equipment standards and guidelines to ensure compatibility, reliability, and ease of maintenance across campu​s including the use of the Berkeley Managed Desktop.
  • Improve User Experience: Ensure timely delivery and setup of technology, minimizing disruptions for faculty, staff, and students while addressing their specific needs.
  • Increase Transparency: Create a more transparent process for tracking and managing equipment orders, configurations, and deployments.
